Job Tittle: Office Assistant

Reporting to: Administration and Logistic Manager

Location: Nairobi

Grade: 1

Duration: 10.5 months with possibility of renewal subject to availability of funding and performance

HIAS is seeking to recruit an office assistant who will ensure a high level of cleanliness and hygiene throughout the premises.

Main Duties and Responsibilities

• Develop routines to ensure all areas of the office are maintained at a high level of cleanliness.
• Office cleaning and machines/equipment/appliances
• Flick desks and ensure habitable office conditions.
• Move or carry office equipment and furniture and ensure orderly arrangement
• Monitoring and managing office supplies inventory. Order and distribute office supplies as necessary
• Ensure that cleaning supplies are available in all health places
• Economical use of cleaning materials and consumables
• Emptying general waste containers and ensuring that all waste is disposed of immediately and using appropriate disposal methods.
• Regularly disinfect litter boxes
• Perform other administrative support tasks, including updating and sorting files, submitting payment requests etc.
• Any other duties assigned to it.

Job specification

• Minimum secondary education
• Certificate in Housekeeping/In any related field
• Previous work experience of at least 1-2 years as an office assistant or similar position in a public or private organization
• A degree in Computer Applications from a recognized institution would be an added advantage

Skills and competencies

• Excellent communication and interpersonal skills
• Demonstrated ability to prioritize and perform multiple tasks simultaneously
• Outstanding customer service skills
• Proven ability to work effectively individually and with a team
•  Ability to follow oral and written instructions.
• Knowledge of accountability to the affected population
• Knowledge of protection from sexual exploitation and abuse
